Conditions of Hire
Bookings will be accepted as follows:
Verbally via telephone or other verbal means
By email direct
Through the online reservation process on the Cwrt yr Ala website
When you submit a booking via our online reservation system you will receive an automatically generated booking summary, by email, to the email address you provide in the booking form. This does not form a contract between us. A contract shall only arise when your booking is subsequently confirmed by post or by email and once a deposit or full payment is made.
The deposit of 50% of the price of the rental is required within 7 days of the initial booking, and the balance will be due at least 28 days prior to the start of your stay. The total cost of the rental is to be paid if the booking is less than 28 days from the start date of your stay.
Payment is to be made by bank transfer or by credit or debit card.
A surcharge of 2.5% is added for credit cards.
Arrival and departure
Your cottage is available from 3pm on the day of arrival and should be vacated by 10am on the day of departure. Please adhere to these times to allow the cottage to be prepared for the next guests and avoid incurring extra costs.
The keys are to be collected from the main house, full details will be made available when the booking is made. Upon departure, keys should be surrendered as agreed.
There is a welcome folder in each of the barns, with local information and brochures to help you find things to do. We can help you with specific queries prior to your booking or throughout your stay. Alternatively, there are links on the Vale of Glamorgan and Cardiff Council website which you may find useful to view prior to your holiday.
Your complimentary Welsh Cakes and Prosecco will be awaiting for you on arrival. For the champagne upgrade, please enquire at time of booking.
We do not request a deposit in most places as we trust our guests to look after our barns.
We do expect guests to replace breakages of any value.
Guests should take all reasonable care of the property, its fixtures and fittings and on-site facilities, and leave the accommodation in a good state of cleanliness. Any breakages/faults etc should be reported as soon as possible as we cannot offer a remedy after the letting has ceased. We reserve the right to request payment to cover the cost of any repairs or replacements and a service charge of £10 to address the breakage.
Electricity and heating is provided as standard.
The heating in the Barns is through an under floor system. Hot water is consistently available in the Barns.
All bed linen is included in the rental price. The bathrooms are stocked with towels. In most cases there will be a hand towel per person. Tea towels are also provided for your stay.
The barns are strictly non-smoking.
Your well behaved dogs are welcome, One dog per barn and please make sure they don't leave us any souvenirs and are kept on leads in communal areas.
Cancellations should be confirmed in writing. We have the following cancellation charge of the total cost of the rental:
20% if the cancellation is over two months prior to the stay
50% if the cancellation is one- two months prior to the stay
If you cancel within 28 days of your stay, the hirer remains liable for the balance of the total cost of the stay. We recommend you take out holiday insurance.
The owners, or their designated representative, shall be allowed to access the cottages at any time to carry out any essential maintenance or for other inspection.
The number of persons occupying a cottage must not exceed the maximum number the cottages can accommodate. For fire safety reasons, the people that stay in the accommodation must not be of a different identity to those named as part of the booking. We reserve the right to refuse admission to the cottage if this should occur. If you wish to change the people that stay, please let us know and we can update booking information.
We regret that we cannot accept responsibility for any lost property left behind after your stay. Whilst we will make every effort to return lost property, this will only be done on receipt of full payment of the registered post. Items not claimed after 28 days will be disposed of.
The use of the cottages/contents and site facilities is entirely at the user’s risk. We cannot accept responsibility for any injury or death to the hirer or any of their party, or other third parties, or for loss or damage to their belongings, vehicles or their contents or any other personal possessions or monies.
Any theft occurring during your stay due to lack of vigilance in terms of locking the property will invalidate the terms of the insurance and thus costs will be met by occupants.
Television / wifi
The cottages have Freeview with plenty of channels to choose from.
Wi-Fi is available and the password is in the Welcome Folder.
We cannot be held responsible if the service becomes unavailable.
Health and Safety
The owners wish to comply with the legislation governing holiday accommodation. There is a Welcome Folder within each cottage, and there are instruction leaflets for the appliances. Please ensure that the instructions provided are followed by the relevant manufacturer in order to keep safe and look after the appliances. If anything breaks or fails to work, please advise us as soon as is feasible and a replacement can be provided. In terms of fire safety, there are smoke detectors and fire alarms.
Cleaning materials are left for the use of guests during their stay. It is the responsibility of guests to ensure that children are safe whilst in the cottages and are not able to access the cupboards where products are kept.
You are responsible for your children’s health and safety throughout the stay and during the use of any equipment. Children should always be supervised in water.
Provision of services
We can facilitate local services such as catering, baby sitting, chauffer service. We also can provide facilities for babies and small children to assist you during your stay such as high chairs, travel cot, toys and so on. We cannot be held responsible for any illness, or injury that may arise from the use of any service we have put into place for you.
Our tailored welcome packages are available on request.
There is a list of all the items provided in each barn. This can be sent to you before your arrival should you request it and wish to see what else you may need to bring with you.
We issue one key for each property. Should the key become lost, please advise us immediately. There will be a charge of £150 to cover the cost of a new lock and the locksmith’s call-out fees.
The owner reserves the right to decline accommodation or require the immediate withdrawal of any person/s not complying with the conditions or for any conduct detrimental to the property, property owner and/or comfort of other guests.
The owner reserves the right to request compensation for any damage as stated above.
Your statutory rights are not affected by any of the above terms and conditions.
